Kiev Shipping Ltd (“Kiev Shipping”) operates kievshipping.asia and processes personal information submitted through the website.
This page explains what the website collects, why, who it is shared with and how long it is kept. It describes this website only.

What we collect
Information you send us
The website has one purpose: to receive chartering enquiries. When you use the enquiry form, we receive what you enter in it:
- your name, company, email address and telephone number, and your role in the transaction;
- the cargo details you provide — commodity, quantity, dimensions, packing, loading and discharging ports, laycan and any special requirements;
- for shipowners: vessel name and type, deadweight, open position and date, and permitted trading areas;
- your message;
- files you choose to attach — drawings, photographs or specifications, in PDF, JPG or PNG format.
Only the fields marked as required have to be filled in. Everything else is yours to leave blank, and a freight indication can be prepared without it — though the more complete the cargo information, the more reliable the answer.
Information collected automatically
With each enquiry we also record the IP address it was sent from, the browser identification, the page it was sent from and the referring page. This is kept with the enquiry as a record of where it came from and to help us recognise automated submissions.
Why we use it
- to answer your enquiry — to search the freight market, prepare a freight indication and correspond with you about it;
- to keep a record of the enquiry and of the correspondence that follows;
- to keep the website working and to limit automated and abusive submissions;
- to understand, in aggregate, which pages are used — see Analytics below.
We do not use your data for advertising, we do not build marketing profiles, and we do not sell or rent it to anyone.
Who it is shared with
Answering a chartering enquiry means going to the market. To obtain a freight indication we pass the cargo and voyage details — commodity, quantity, ports, laycan, terms, and where relevant the drawings and dimensions — to shipowners, operators and other brokers. That is the service you are asking for, and it cannot be performed without it.
Your personal contact details are not circulated to the market as part of that process. They are used by us to correspond with you, and they are passed on only where a fixture requires it — for example when you become a contractual party and the counterparty needs to know who they are dealing with.
Beyond that, we disclose personal information only:
- to service providers who operate parts of this website on our behalf — the hosting provider, the network provider that serves the site and filters traffic, and our email provider;
- where we are required to do so by law, or in response to a lawful request from a competent authority.
Cookies
This website uses two strictly necessary cookies: one that keeps your session while you fill in the form, and one that protects the form against cross-site request forgery. Without them the enquiry form cannot work. They contain no advertising identifiers and are deleted when the session expires.
The website sets no advertising cookies and carries no advertising.
Analytics
We use Google Analytics to see, in aggregate, which pages are read and from which countries. This tells us which cargo topics are of interest; it is not used to identify individual visitors. Google acts as our processor for this and may process the data outside your country. You can prevent it entirely with Google's browser add-on, available from Google's own website.
Attachments
Files you attach to an enquiry are stored outside the public part of the website. They are not published, not indexed by search engines and not accessible by guessing a web address. They are read by the people handling your enquiry, and their technical content — drawings and dimensions — may be shared with shipowners and their surveyors where that is needed to assess the shipment.
How long it is kept
Enquiries and their attachments are kept as a commercial record for as long as they may be relevant to our business relationship, and after that for as long as required by applicable accounting and limitation rules. Where an enquiry did not lead to business and is plainly of no further relevance, it is deleted on request.
Your rights
You may ask us to:
- tell you what personal information we hold about you;
- provide a copy of it;
- correct it if it is wrong;
- delete it, where we are not required to keep it;
- stop using it for a particular purpose;
- withdraw a consent you previously gave — this does not affect what was done while the consent was in force.
Write to [email protected]. We answer within one month. If you are not satisfied with the answer, you may complain to the data protection authority in your country.
Security
The website is served over an encrypted connection. Enquiries are stored in a database that is not publicly reachable, and attachments are stored outside the public web root. Access is limited to the people who handle enquiries. No transmission over the internet can be guaranteed completely secure, and we do not claim otherwise.
Children
This is a business-to-business website. It is not directed at children and we do not knowingly collect information from them.
Changes to this policy
If this policy changes, the revised version is published on this page. Material changes will be apparent from the page itself; we do not send notifications, because we do not maintain a mailing list.
